A name anyone can find

Lesson 1 of 6 · Files & Audits

1 · Learn the move · Recipe pattern

Every file you save is a file somebody has to find at 4:50 on an audit day, and "Scan_0047.pdf" fails that test. The recipe pattern hands the AI a formula instead of a vibe: date first in YYYY-MM-DD so the folder sorts itself, then the record type, then the subject in plain words, then the version. Give it your real file list and it renames the batch by the same rule. The recipe is the deliverable. Write it once, pin it by the scanner, and the person hired next month follows it without asking you a thing.

You are my records assistant. Build a file naming recipe for [my record types]: the formula, the order of the parts, the date format, how versions and finals work, and worked before/after examples using my real file names below. Then rename my list by the recipe. Never invent a date that isn't in the old name or my notes.

2 · Your turn. You write the prompt

Three people save into the same OneDrive folder and name files three different ways. Searching "invoice" returns 41 hits and not one of them tells you the month. Write a prompt that produces one naming recipe plus the renamed list.

Remember: the AI sees only your prompt, not this page. If the situation isn't in your prompt, it doesn't exist.

Optional. These shape the output when you run your prompt below, not your score.
