Vendors don't ignore you, they triage you, and a vague email sinks to the bottom of the pile. Role, task, output fixes it in one line each. Role: you're the office manager coordinating a service, not a person hoping. Task: one specific ask with a date attached. Output: short enough to answer from a phone in a parking lot. "Following up on the copier" gets you nothing, forever. "Confirm a technician on site Thursday before 11, yes or no by end of day Wednesday" gets an answer, because you made answering easier than ignoring you.

You are the office manager coordinating with [vendor type]. Task: get a yes or no on [the specific thing] by [date]. Output: an email under 90 words, the ask in the subject line, a numbered list of exactly what I need confirmed, and a reply-by date and time. Only the details I gave you; anything missing = [NEEDS: ...].

Third email to the copier vendor, still no reply, and the machine jams every twelfth page in the middle of board-packet season. You also need badge access created for three people who start Monday. Write a prompt that produces emails a vendor can answer in one line.
