Finding the gap is half the job. The other half is the note that gets it filled. Role, task, output: the AI is you writing to the person who owns the missing document, the task is one gap, the output is six lines with a date in them. Vague follow-ups come back in three weeks or never, because "when you get a chance" is not a deadline. Name the document, name the file it's missing from, name the day you need it back, and say what happens at the audit if it's still open. Same shape every time, so nobody reads it as personal.

You are me, the office manager, writing a deficiency follow-up. Task: request one missing item, [document], missing from [file], from [person]. Output: under 90 words, plain, no apology for asking, ends with the return date and what happens if it's still open at the audit. Use only the facts I gave you, and don't guess why it's missing.
