Meeting to minutes to tracker, one loop

Agenda, minutes, tracker, follow-up email. Four documents that are really one loop, and the loop breaks in the gaps between them, usually on Thursday when you're already behind. Chain it in a single pass: the agenda's items become the minutes' headings, the minutes' decisions become tracker rows, the tracker rows become the follow-up email. The rule that holds the chain together is that nothing may enter a later step that wasn't in an earlier one. Build the chain once and the meeting cycle stops depending on how much time you happened to have that week.

Run my full meeting cycle as one chain. STEP 1: minutes from my raw notes, headed by the agenda items in agenda order. STEP 2: pull every decision and action from step 1 into tracker rows, owner / due date / source line. STEP 3: the follow-up email, built only from step 2. 2 · Your turn. You write the prompt

Department heads meet Tuesday at 8. You type notes live, then the week eats you, and by the time the tracker gets touched on Thursday two of the actions have already gone stale and one owner has forgotten agreeing to anything. Write a prompt that produces the minutes, the tracker rows, and the follow-up email in one pass off Tuesday's notes.
