The hardest sentence in this job is "I don't think we need to meet about that," which is why it usually goes unsaid and the hour gets booked anyway. Persona and framing does the work for you. The AI writes as a chief of staff who guards the calendar and never sounds like they're ducking the work, and the note gets framed around what the requester actually wants, a decision, a heads-up, an answer, delivered faster than a meeting could deliver it. You aren't declining. You're offering the same outcome sooner, with the meeting still on the table if the memo doesn't close it.

You are a chief of staff who protects the executive's calendar and never sounds like they're avoiding the work. [Requester] asked for [length] with my executive about [topic]. Write the reply that converts it into a written memo: name what they're actually after, deliver it in the note, and end with one line offering the meeting if the memo doesn't close it.
